Organizing tasks and avoiding distractions

On other occasions, we have talked about the importance of time management and quality, the importance of being efficient in our daily lives, and the best techniques for doing so.

This time, with the return to routine after the summer, we want to delve deeper into this topic and focus on organizing tasks and avoiding distractions. We will look at different techniques and tips to help us get organized and, therefore, remain efficient in our work.

Although each department at ARENA has its own standardized and organized processes, we believe that some tips at the individual level can help promote this organization in order to achieve individual and common goals.

How to Organize Ourselves to Achieve Our Goals?

1. Set Clear Priorities

We can apply different criteria for this:

  • Urgent vs. Important (in the article Time Management and Quality you can see how to create an Eisenhower Matrix).

  • Assess the impact that a given task may have on the project, process, or business.

  • Determine whether there are dependencies with other teams. If so, task organization should be shared to avoid bottlenecks.

2. Define Weekly and Monthly Goals

Clearly defining short-, medium-, and long-term objectives helps us organize tasks based on their urgency and importance.
This also allows us to measure progress and adjust the course of projects when necessary.

3. Meetings

Meetings should be brief and effective to reduce unnecessary time spent and increase efficiency on related tasks. Use the meeting format that best fits your team, project, or process.

  • Weekly meetings to assess progress and establish action plans if needed.

  • Daily meetings, only when necessary, to address specific and concise topics that help unblock tasks.

  • If something can be resolved through an email or Teams chat, avoid scheduling a meeting.

How to Avoid Distractions?

Distractions can come from different sources — digital, mental, or interpersonal — and can make our day less productive. Here are some tips that may help depending on the context.

One of the biggest distractions is the digital environment. Try setting routines on your phone such as “Do Not Disturb” mode so that only truly important calls come through, starting and ending in sync with your workday.
There are also apps designed to block distractions, such as Forest or Focus To-Do.

Taking breaks is essential — they help clear your mind and return to work with renewed focus. Consider taking mindful pauses to promote mental rest, perhaps using Mindfulness techniques introduced during our Health Week.
Alternatively, take active breaks — stand up, walk around, or do some stretches to re-energize yourself.

Finally, maintaining good communication with your team is key. Establish focus hours where interruptions are minimized.
By promoting these concentration routines, we can facilitate goal achievement and reduce the impact of distractions.
